Ringo Office is built so that information about the people who call your office does not stay with us.
We never store caller names, caller phone numbers, what callers say, call summaries, transcripts or recordings. Our phone provider (Retell AI) is set to keep basic call information only, with no transcripts or recordings, and to delete it after one day. Ringo is told not to ask for sensitive details and to stop callers who start sharing them.
For each call we keep the time, the length, a general topic (for example "new client" or "scheduling") and the result (for example "booked" or "transferred"). None of this identifies a caller. Your dashboard uses it to show call volume, topics and busy hours.
When Ringo books an appointment, it writes the caller’s name, callback number and a general appointment type straight into your own Google or Outlook calendar. We keep only a count of appointments by day and type. During the call, these details pass through our system and our AI providers so the booking can be made, but we do not save them.
We keep your office name, login emails, the settings you enter, and your plan and billing status. Card payments are handled by Stripe, and we never see your full card number. Login codes are sent by email through Resend.
When you connect a calendar, we store an access token so Ringo can see open times and add appointments. You can disconnect it at any time in Settings, Connections.
Cloudflare (hosting and database), Retell AI (phone calls), Stripe (billing), Resend (email) and, for optional marketing features, the social media and ad services you choose to connect.
We do not sell or share information for advertising.
You can download or delete your account data anytime in Settings, Your data. When you close your account, your data is deleted 30 days later.
